Below you will find detailed information on how to prepare and submit your conference presentation materials, including presentation videos and posters. We hope you will have a smooth and positive experience preparing your materials, and we very much look forward to your contribution to VCCA 2026.

Please note that all conference materials must be submitted by 7 June, 2026.

Presentation formats

VCCA 2026 includes three types of scientific contributions: Featured, Podium, and Poster presentations.

  • Featured presentations
    • Each session includes a single Featured presentation, selected through a blind evaluation process by the Session Chairs as the contribution with the highest scientific impact.
    • Featured presentations open the session and are allocated additional presentation time (12 minutes + questions and answers — Q&A).
    • Authors of Featured presentations will receive a diploma recognising their contribution as the Featured talk of the session.
    • Authors must submit a single file containing the video recording of their presentation.
  • Podium presentations
    • Podium presentations are allocated 8 minutes + Q&A.
    • Authors must submit a single file containing the video recording of their presentation.
  • Poster presentations
    • Poster contributions must submit two files: (1) the conference poster, and (2) a video recording of the 3-minute Poster Blitz presentation.
    • The Poster Blitz presentation should provide a concise summary of the essence of the work, including its motivation, main results, and significance of the conclusions. Authors are free to choose the presentation format that they find most appropriate. For example, the presentation may consist of a small number of slides highlighting key aspects of the poster, or it may use the poster itself as the main visual aid, with specific sections highlighted during the presentation. Authors are encouraged to follow the video recording guidelines and may use the official VCCA 2026 presentation template if they find it helpful.
    • The goal of the Poster Blitz presentation is to attract the audience’s interest in the work and encourage offline peer-to-peer interactions between interested attendees and the authors, thereby recreating within an online environment the interaction dynamics typically associated with poster sessions at in-person conferences.
    • These interactions may take place via email or through virtual meetings using platforms such as Google Meet, Microsoft Teams, or similar software.
    • Authors are therefore encouraged to approach the 3-minute presentation with this objective in mind: generating audience interest either in visiting the poster on the conference website or in arranging a more detailed virtual discussion about the work.
    • Please note that the Poster Blitz presentation is not intended to be a comprehensive walkthrough of the entire poster. Instead, it should provide a concise overview of the study that motivates attendees to explore the poster and engage further with the authors.
    • During the conference, Poster Blitz presentations will be played by the Technical Chairs as pre-recorded videos. No live Q&A will take place during the Poster Blitz sessions, allowing all presentations to be viewed efficiently within the scheduled time.
    • Following each Poster Blitz session, a dedicated Post-Conference Poster Meet & Connect session will be held, where a separate Zoom room will be available for each poster presentation.
    • Poster authors are encouraged to join their dedicated room and remain available to interact with attendees. Participants interested in a particular poster are welcome to join the corresponding room to discuss the work in greater depth. These informal discussions provide an opportunity for authors to explain their research in more detail, answer questions, receive feedback, and explore potential collaborations. The Meet & Connect sessions are designed to encourage real-time scientific exchange and networking between authors and attendees.
    • All posters and Poster Blitz presentations are also available through the VCCA 2026 Poster Gallery. The Poster Gallery includes access to the abstract, digital poster, Poster Blitz presentation, and contact details of the corresponding author, allowing attendees to continue discussions after the conference.
    • This contribution format is a new feature within the VCCA conference series. After the conference, both authors and attendees will be invited to provide feedback and suggestions for future editions.
  • Important note
    • All VCCA 2026 presentations are pre-recorded.
    • During the conference, the pre-recorded video of each contribution will be played first, followed immediately by a live Q&A session with the audience.
    • For this reason, the presenting author must be registered for the conference and be present online during their scheduled session to answer questions live after their presentation.

Video recording guidelines

  • Please prepare your presentation slides according to the time allocated for your contribution type:
    • Featured presentation: 12 minutes
    • Podium presentation: 8 minutes
    • Poster blitz presentation: 3 minutes
  • You are free to use any slide design or presentation format you find appropriate. If helpful, you may also use the official VCCA 2026 PowerPoint presentation template.
  • Once your slides are ready, please record your presentation following the recommendations below.
    • Lighting: Ensure the room is well lit to avoid shadows and improve image quality. Natural light or a properly positioned lamp can help illuminate your face clearly.
    • Camera and audio quality: Use a good-quality webcam and microphone to ensure clear video and audio. Please test your equipment before recording to avoid technical issues.
    • Background: Choose a clean and distraction-free background.
    • Camera positioning: Position the camera at eye level and frame yourself approximately from the chest upwards.
    • Rehearsal: Please rehearse your presentation beforehand to ensure it fits within the allocated time for your contribution type.
    • Recording tutorials: The following tutorials explain how to record audio and video directly within PowerPoint and Keynote.
    • Export: Please export your presentation video in MPEG-4 format (.mp4), using a Full HD resolution (10920 x 1080), keeping the file size below 500 MB.
    • Video compression (if needed): If your video exceeds 500 MB, you may compress it using tools such as VEED or similar software.
      • We recommend using a bitrate of 4 to 6 Mbps. Bitrates below 2 Mbps are discouraged, as they may reduce the readability of slides and figures after YouTube compression.

Poster guidelines

  • Posters must be prepared in landscape format.
  • You are free to use any poster design or layout you find appropriate. If helpful, you may also use the official VCCA 2026 PowerPoint poster template.
  • Please export the final poster as a high-quality PDF file before submission.

Space

Submit your Presentation Materials

Presentation materials must be submitted before 7 June 2026 via Microsoft’s Conference Management Toolkit (CMT) following the steps below.

  1. Log in to the VCCA 2026 portal on Microsoft CMT.
  2. In the Author Console, you will see your submitted abstracts that have been accepted for presentation at the conference.
  3. In the right-hand Actions column, click on Upload Supplementary Material.
  4. On this page, you will be able to upload your files.
    • The system only accepts .mp4 and .pdf files, corresponding to the presentation video recording and the poster file, respectively.
    • Please ensure that your files do not exceed the maximum upload size allowed by the platform.
  5. Click Save, review the Submission Summary, and then return to the Author Console.

Please note that you will not receive a confirmation email acknowledging succesful submission of the conference materials. Instead, you can verify that the upload was successful by checking that the files appear as Supplementary Files associated with your contribution in the Author Console.

What to expect after uploading the Presentation Materials

  • If you have not yet registered for the conference, please register here.
    • Registration is free of charge. Please note that at least one author must register for the conference and participate live to the Q&A session associated with the presentation.
  • Please consult the conference programme to identify the date and time of the session in which your presentation is scheduled.
  • Live conference sessions will be conducted via Zoom. Please ensure that your Zoom software is updated to the latest version before the conference.
  • A few days before the conference, you will receive the Zoom link required to join the live sessions.
  • On the day of the conference, your pre-recorded presentation will be played by the Technical Chairs.
  • Please ensure that you join the appropriate session and virtual room at least 10 minutes before your scheduled presentation time.
  • When joining Zoom, please ensure that your full name is correctly displayed in your Zoom profile so that the Session Chair can easily identify you.
